Booking Terms & Conditions

Effective Date: September 17, 2025

By booking travel services with Loong Explorer, LLC (“we,” “our,” or “us”), you (“traveler,” “client,” or “you”) agree to the following terms and conditions. These terms form a binding agreement governing all bookings and travel services provided by us.

1. Booking & Payment

• A flat deposit of $300 per person is due at the time of signing this Agreement.
• If canceled within 48 hours of signing, the deposit will be fully refunded, provided no supplier bookings have been made. After 48 hours, deposits are non-refundable.
• The remaining balance is due 90 days prior to departure.
• For trips booked within 90 days of departure, full payment is required at the time of booking.
• All cancellations after 48 hours are also subject to a non-refundable $25 administrative fee.

2. Cancellation & Refunds

• More than 60 days before departure: Refunds limited to amounts recoverable from suppliers, minus deposit, non-recoverable costs, and administrative fee.
• 31–60 days before departure: Up to 50% of the package price refundable, subject to recoverable costs.
• 30 days or fewer before departure or no-show: No refund.
• Airline tickets, visa application fees, and third-party processing charges are strictly non-refundable once issued or submitted.

* Visa Denial

If a traveler's visa application is denied by the Chinese Consulate:

• All visa fees and service charges are non-refundable.
• Any recoverable supplier costs (such as hotels, tours, or airfare not yet ticketed) will be refunded.
• If denial occurs after non-refundable supplier costs have been incurred (e.g., airline tickets issued), the standard cancellation schedule will apply.

3. Travel Insurance

We strongly recommend comprehensive travel insurance covering trip cancellation, medical expenses, emergency evacuation, baggage loss, and other unforeseen events. Travelers who decline insurance assume all related risks.

4. Client Responsibilities

Travelers are responsible for:

• Holding valid passports, visas, and required documentation.
• Complying with entry, health, and safety regulations.
• Following local laws, customs, and guide instructions.

Loong Explorer, LLC is not liable for delays, losses, or disruptions caused by circumstances beyond our control (e.g., weather, natural disasters, government actions, airline or supplier issues).

5. Third-Party Providers

Some services (e.g., flights, hotels, tours, visa processing, shuttles) are delivered by independent suppliers. While we carefully select partners, Loong Explorer, LLC is not liable for their acts, omissions, or service quality.

6. Amendments and Changes

We reserve the right to:

• Adjust itineraries, accommodations, or schedules for operational, safety, or comfort reasons.
• Revise pricing if taxes, fees, or currency fluctuations occur before final payment.

Notice of any significant changes will be provided as soon as reasonably practicable.

7. Acceptance of Terms

By submitting a booking request or payment, you acknowledge that you have read, understood, and accepted these Booking Terms & Conditions, together with our Privacy Policy.
